Bay Area Corporate Event & Conference Photography

We plan around your run of show so nobody on your team has to direct a photographer on the day. Your 20 best photos arrive fully edited within 24 hours, and the full gallery follows in three to five business days.

All your corporate event photography, handled by one team

You put a lot into your event. Getting great photos of it shouldn't be one more thing to manage. We photograph conferences, summits, retreats, galas and company events, in the Bay Area and nationwide.

For marketing and communications teams. You need photos while the event is still news. We send 20 edited highlights within 24 hours, ready to post, and the full gallery in three to five business days, sorted by session. Usage rights are already in the agreement.

For event planners. Send us the run of show and sponsor list. We turn them into a written shot list and adjust on site when plans change. You deal with one person from the first call to final delivery.

What coverage costs

Coverage starting at
$350 per hour

Your quote is based on your schedule, how many photographers you need and what you want delivered. You get one written proposal that spells out the hours, travel, deliverables and licensing, so the invoice matches what you approved.

Conferences that run several days, or need more than one photographer, are quoted as a package instead of by the hour.

What's included

  • A planning call and a written shot list
  • Coverage on site for the full agreed schedule
  • Full editing of every delivered image
  • 20 fully edited highlight photos within 24 hours, and the full gallery in three to five business days
  • Delivery organized by session, in web and print resolution
  • A private online gallery where your team can download and share every photo
  • Usage rights for marketing, social media, PR, your website and internal communications

Travel

Travel is priced in the proposal up front, whether that's across the Bay, a convention in Las Vegas or an event on the other side of the country. No mileage, flight or parking charges show up after the fact.

Rush delivery and on-site editing

Need photos sooner than that? You can add same-day delivery or a faster full gallery, and on-site editing gets photos out while the event is still running. These are extras, so mention them when you brief us and we'll price them into your quote.

How we work

03 / Process

01

Plan

We go through your run of show with you before the event, including what you've promised sponsors and what you need delivered afterward. The shot list goes in writing, so nothing depends on anyone's memory on show day.

02

Capture

We arrive before doors open and walk the room with your production lead, so we know where the stage, the sponsor walls and the VIPs will be. When a session runs long or the agenda changes, we adjust without anyone having to tell us.

Deliver

Within 24 hours you get 20 fully edited highlight photos, ready to post. The full gallery follows in three to five business days, sorted by session and ready to use. Need them even sooner? Rush delivery is available as an extra.

Frequently asked questions

04 / FAQ

How much does corporate event photography cost in the Bay Area?

Coverage starts at $350 per hour. If your conference runs one day, it's usually quoted as a half or full day of coverage. Conferences that run several days, or need extra photographers, are quoted as a package instead of by the hour. Either way you get one written proposal that lists everything included, with no hidden fees.

How quickly do we get the photos?

Within 24 hours you get 20 highlight photos, fully edited and ready to post, so your team has something to share while people are still talking about the event. The full edited gallery follows in three to five business days. If you need photos on the day or the full gallery sooner, same-day delivery, faster turnaround and on-site editing are available as extras. Ask before the event so we can price them into the proposal.

Can you photograph what we promised our sponsors?

Yes. Send the sponsor list along with what each sponsor was promised, such as booth photos, logo placement on stage or a speaking slot, and every item goes on the shot list. The photos for each sponsor report get taken on the day, instead of hunted for afterward.

Can you cover several sessions at the same time?

Yes. When breakouts, a sponsor floor and a main stage are running at once, we can add photographers. How many depends on your schedule and the venue, and it's spelled out in the proposal.

Do you travel outside the Bay Area?

Yes, we travel nationwide. Travel costs are listed in the proposal up front rather than added afterward.

Are you insured?

Yes. We're insured up to $2 million for corporate and conference work, and we can provide a certificate of insurance whenever your venue, AV partner or production company requires one before the event.

How far in advance should we book?

As soon as your dates and venue are set. If your event is a single day, four to eight weeks ahead is comfortable. Longer conferences, and anything needing more than one photographer, are better booked a few months out.

How many photos do we get?

It depends on how long the event runs, the schedule and how many photographers are covering it. You get a complete, edited set with duplicates and outtakes removed, not a padded count.

How do we receive the files, and what can we use them for?

Through a private online gallery, where your team can download and share every photo. Your agreement spells out usage: you can use the images for marketing, social media, PR, your website and internal communications, and we keep the copyright.

What do you need from us before the event?

The run of show, a list of the speakers, sponsors and executives who must be photographed, an on-site contact, and any brand or badge requirements. We turn your answers into the shot list.
